Cancellation deadline
If made before the 10th of October 2019: The full amount will be refunded less an administration fee of € 200, plus a credit card fee.
If made after 10th of October 2019: No refunds are made.
Hotels are not the responsibility of the organizers, and participants should reserve directly with the hotel and follow their cancelation policies.
The organizer or the congress agency cannot be held responsible for reimbursement of hotel bookings or the conference dinner in case the conference is cancelled.
Liability & Insurance
The registration fee does not include the insurance of participants against personal accidents, sickness, cancellations by any party, theft, and loss or damage to personal possessions. Participants are advised to take out adequate personal insurance to cover travel, accommodation, cancellation and personal effects.
Disclaimer
Whilst every attempt has been made to ensure that all the events detailed in the program will take place as scheduled, the Organising Committee or the congress agency reserves the prerogative to amend the program as necessary.
Payment
Full payment of the registration fee must be made by the time of registration. In case of late registration, the fee must be paid before the start of the conference according to the conditions stated below. Payment may be made by either credit card or bank transfer.
The above social events (Golf and Tennis Tournament and the Sugar Loaf and Enxadas Islands tours) may be cancelled or changed due to the weather conditions.
Credit card fee charges
When paying with credit card a fee of approximate 3,5% will be added to the total amount charged depending on the various credit card companies.
Bank transfer
If you prefer to pay by foreign bank transfer, an invoice will be forwarded upon completion of the online registration and payment must be made within 5 days of receiving the invoice. A bank fee of € 15 will apply on wire transfers.

Badges
A name badge is required for accessing lectures, the exhibition area and social events, as well as for lunch and coffee servings. Please wear your name badge throughout the congress.
Catering
Lunch and coffee servings are included in the registration fees and served during the meeting period (March 08th-13th) in the exhibition area. No lunch and coffee is served on Wednesday March 11th. Coffee break is served in the congress foyer. Lunch is served at the hotel restaurant.
Taxi Service
You can find a taxi outside of Belmond Copacabana Palace. Authorized taxis in Rio de Janeiro are yellow. You you can download Uber and order Uber Black to move safely in Rio de Janeiro.

Passport and Visa Requirements
For most countries, Brazil adopts the principle of reciprocity of treatment, that is, entry visa is required for citizens from countries that require an entry visa for Brazilians. This rule doesn’t apply to citizens from the United States, Canada, Australia and Japan, who don’t need to apply for a visitor visa. Citizens from countries that are waived from entry visas are allowed to stay as visitors up to 90 days. For longer stays, visa is required anyways. We strongly advise participants and accompanying persons to verify whether your country is in the list of required entry visa to visit Brazil.
Passport must be valid for at least 6 months after the date foreseen for arrival in Brazil.

Due to high season in Rio de Janeiro (close to Carnival) we recommend to book accommodation when you register your attendance. Special rates for ICMA XXI are valid until October 2019. After this date special rates and availability is no longer guaranteed.
